📋 Equipment Care & Safety Guide

Keep your party rolling smoothly, your guests safe, and your deposit intact. These quick guidelines apply to every rental from G-Pop's.

⚠️ Before You Start — Universal Safety

🛡️ Safety First (every machine)

  • Adults only at controls. No children operating snack machines or projectors unsupervised.
  • Place on a stable, level surface at least 3 ft from foot traffic, tablecloths, and curtains.
  • Plug directly into a grounded wall outlet — avoid daisy-chained extension cords. If you must use one, use a heavy-duty 12-gauge cord.
  • Never leave hot equipment unattended around children or pets. Kettles, lamp covers, and projector lenses get extremely hot.
  • Keep liquids away from electrical bases. Wipe spills immediately and unplug before cleaning.
  • Cord trip hazards: tape cords down or route along walls.

♻️ Run/Rest Discipline

  • Snack machines are commercial-grade — but they still need rest cycles to prevent motor burnout and uneven results.
  • Don't leave machines running with no one using them. Power them off between serving rushes.
🍿 Popcorn Machine (Pro)

🛡️ Safety / Injury Prevention

  • Kettle exterior reaches 400°F+ — never touch the kettle, lid, or dump arm with bare hands. Use the heat-resistant handle only.
  • Heat lamp in the warming deck is hot — do not reach under the kettle while running.
  • Hot oil can splatter when adding kernels — tilt the kettle lid away from you.
  • Keep children at least 3 ft away; the front glass and side panels get warm enough to burn.

♨️ Run / Rest Cycle

  • Pre-heat 5 minutes before first batch (faster pops, fewer un-popped kernels).
  • Rest 10 minutes after every 4 back-to-back batches, or once the warming deck is full.
  • Turn off the kettle (keep the deck light on) when there's a lull in the line — saves the heating element.

🧽 During-Event Quick Clean

  • Brush stray hulls off the warming deck every 30 minutes with the included dry brush.
  • Do NOT spray water on a hot kettle — it can crack.

🔌 Shutdown

  • Turn kettle OFF, leave deck light on for 10 minutes to cool.
  • Empty warming deck, wipe with a damp cloth once cool. Do not submerge.
Deposit impact: Burnt oil residue left in the kettle, cracked kettle from cold water on hot surface, or melted dump arm = $50–$100 cleaning/repair fee.
🍭 Cotton Candy Machine

🛡️ Safety / Injury Prevention

  • Spinner head turns at high RPM. Keep fingers, hair, sleeves, and cones outside the bowl while running.
  • The spinner head and ribbon heater get extremely hot — allow 15 minutes to cool before touching.
  • Always run with the floss bowl in place; never operate with the bowl removed.
  • Children should not operate this machine — supervise closely if they're collecting cones.

♨️ Run / Rest Cycle

  • Run no more than 20 minutes continuous, then power off for 5 minutes to let the head cool. Prevents sugar from caramelizing inside the head.
  • Spin the cone slowly near the bowl edge — patience makes fluffier clouds.

🧽 During-Event Quick Clean

  • Wipe the bowl with a damp cloth between flavors so colors don't mix.
  • If sugar starts to caramelize (smells burnt), stop, cool fully, then resume.

🔌 Shutdown

  • Empty any remaining sugar from the head before it hardens.
  • Once cool, wipe the bowl and lid. Do not submerge the head or motor base.
Deposit impact: Caramelized/hardened sugar left on the spinner head or motor housing = $30 cleaning fee. Damage from running with the bowl removed is not covered.
🧊 Snow Cone Machine

🛡️ Safety / Injury Prevention

  • The shaver blades are razor sharp. Never reach inside the hopper while plugged in. Unplug before clearing jams.
  • Only feed cube ice (not block ice or dry ice). Wrong ice can crack the blades or housing.
  • Do not operate with the safety lid removed.

♨️ Run / Rest Cycle

  • Run in bursts — 10 cones, then 60-second rest. Continuous heavy use can overheat the motor.
  • Pre-chill syrup bottles in a cooler for 30 minutes before serving — keeps cones syrupy, not icy.

🧽 During-Event Quick Clean

  • Wipe drip tray every 30 minutes — sticky syrup attracts bees.
  • Cap syrup bottles between pours.

🔌 Shutdown

  • Unplug, empty ice hopper, run a cup of plain water through to flush syrup residue.
  • Towel dry the chute and blade housing. Do not submerge the motor base.
Deposit impact: Dull/chipped blades from wrong ice, dried syrup gunking the motor housing, or missing safety lid = $25–$75 fee.

📦 The Machines at a Glance

  • Single-Pitcher (Bahamas / Key West style): ~600 watts · 36 oz pitcher · makes ~12 drinks per batch · ~4.5 amp draw on a standard 110 V outlet.
  • 3-Pitcher Party Machine (Tahiti DM3000/DM3500 style): ~1,000+ watts · three 36 oz pitchers running simultaneously · makes ~36 drinks per cycle · ~9–10 amp draw — needs its own dedicated 15 A circuit.
  • Both use a top shave wheel that grates cube ice from the reservoir down into the pitcher, where a separate blending blade at the bottom mixes it with your liquid.
  • Pre-programmed auto cycles on the dial: Margarita · Daiquiri · Mudslide · Smoothie · Manual (most machines also have a separate Shave-Only and Blend-Only setting).

🛡️ Safety / Setup

  • Stable, level surface only. Vibration from the shave/blend cycle will walk the machine off an uneven counter.
  • Plug into a grounded GFCI outlet (kitchen, bathroom, or outdoor exterior outlet). The 3-pitcher model must be on its own 15 A circuit — sharing with the popcorn machine, coffee maker, or another high-draw appliance will trip the breaker mid-batch.
  • Always lower the lid fully before pressing start. The lid interlock is what activates the shave wheel — running with the lid up will either fail to start or expose you to a spinning blade.
  • Never operate dry. Always add ice and liquid before pressing shave/blend. Running empty burns out the blade motor instantly and voids any deposit refund.
  • Hands and utensils OUT of the pitcher while running — the shave wheel and blending blade are razor sharp and self-feeding.
  • Use standard cube ice only (refrigerator-style cubes or bag ice from a gas station/grocery store). NEVER use crushed ice, block ice, or dry ice — the shave wheel is calibrated for whole cubes and will jam, chip, or burn out otherwise.
  • Keep cords clear of splash zones and foot traffic. Wipe up spills immediately.

🥤 How to Use (the short version)

  • Fill the ice reservoir to the MAX line. A full reservoir = one full 36 oz pitcher of slush. Don't overfill — extra cubes will jam the shave wheel.
  • Pour ~12 oz of mix + your alcohol (or extra juice for virgin) directly into the empty pitcher before ice shaves down. Recommended ratio: 1.5–2 oz spirits per drink (≈6 oz spirits per full 36 oz pitcher). Over-pouring melts the slush instantly.
  • Select the auto cycle that matches your drink (Margarita, Daiquiri, etc.) and press Start. The machine shaves, blends, and stops automatically — usually 2–3 minutes.
  • For thicker slush: run a quick extra "Blend Only" burst (15–20 seconds) after the auto cycle finishes.
  • For thinner / pourable: add a splash of warm water and run a short blend.

🍸 Alcohol Service & Liability — Read This

  • G-Pop's supplies the machine and (with the Fiesta Bundle) non-alcoholic mix packets only. We do NOT supply, serve, or sell alcohol.
  • You (the renter) are 100% responsible for any alcohol added, who is served, and over-service. A signed acknowledgment is required at delivery (see Rental Agreement Section 4).
  • No service to anyone under 21. Designate a sober adult to monitor the machine — never leave it unattended at a public event.
  • For dry events (kids' parties, schools, corporate, churches), run virgin slushies, smoothies, or frozen lemonade — same machine, zero liability.

♻️ Run / Rest & Throughput Planning

  • Single-pitcher throughput: ~12 drinks every ~3 minutes ≈ ~240 drinks/hour max with one operator (more realistically 100–150 with pouring + chatting).
  • 3-pitcher throughput: ~36 drinks every ~3 minutes ≈ ~700 drinks/hour max. For a 100-guest event, plan on ~3 drinks per person over 3 hours → one machine is plenty.
  • Let the motor rest 2–3 minutes between heavy back-to-back batches. Continuous shave for more than ~5 minutes can overheat the motor.
  • Top off ice and mix as the level drops — don't run it down to slush sludge, which strains the auger.
  • Between flavor changes, rinse the pitcher with warm water and run a quick shave cycle to clear the old mix.

🧼 Cleaning (after each use)

  • Unplug first. Always.
  • Pour out any leftover slush, then add 2–3 cups of warm water + a drop of dish soap to the pitcher and run the Shave Only cycle for 30 seconds. Rinse with clean water.
  • Dishwasher-safe parts (top rack only): pitcher, pitcher lid, and pitcher blade assembly (after removal). Hand-wash only: the shave-wheel housing, ice reservoir lid, and any rubber gaskets — hot dishwasher cycles can warp them.
  • Wipe the motor base and shave chute with a damp cloth only. Do not submerge or rinse the motor base under running water — instant electrical damage.
  • Towel-dry all parts before packing. Sticky residue attracts ants, gunks the blade housing, and is the #1 reason for a cleaning-fee charge.

🔌 Shutdown / Return

  • Unplug, drain, clean (see above), and dry. Pack pitcher(s) upright in the original travel position with the lid loose (not sealed — lets parts dry fully in transit).
  • Coil the power cord loosely around the base — do not kink at the strain relief.
  • Return with no sticky residue, no dried mix, blades clear.

🛠️ Quick Troubleshooting

  • Won't start: Check the lid is fully closed (interlock), the dial is on a setting (not OFF), and the breaker hasn't tripped.
  • Shaves slowly / makes chunks: Ice cubes are too small or partially melted — empty the reservoir and refill with fresh cube ice.
  • Slush turns to soup: Too much liquid (or alcohol) vs. ice. Add more ice and re-blend; reduce the pour ratio next batch.
  • Loud grinding / motor strain: Stop immediately. Likely a stuck ice cube or wrong ice type. Unplug, clear the shave chamber, restart with proper cube ice.
  • Breaker keeps tripping (3-pitcher): Move it to its own dedicated outlet — nothing else on that circuit.

ℹ️ Spec Snapshot

  • Manufacturer warranty: 1-year limited (handled by G-Pop's, not the renter — call us if a machine fails mid-event so we can document it).
  • Pitcher material: BPA-free polycarbonate (impact-resistant but can crack if dropped on concrete).
  • Operating temperature: Ambient 50–95°F. Outdoor use OK under a tent; do not run in direct rain or temps under 50°F.
  • Noise: ~75–80 dB during shave cycle (about the same as a blender). Plan microphone/speaker placement accordingly.
Deposit impact: Returned with dried mix in the pitcher, sticky residue on the base, or gunked blades = $50 cleaning fee. Burnt-out motor from running dry, chipped/bent blades from crushed or block ice, cracked pitcher, or damaged shave wheel = full deposit forfeit + replacement cost (replacement runs $300–$600 depending on model). Misuse or illegal alcohol service is the renter's full legal responsibility per the signed rental agreement.
🧃 VEVOR 4L Slushie Machine (No Ice Needed)

⚠️ This machine works completely differently from the Margaritaville units above. It has a built-in compressor that freezes liquid mix into slush over 1–3 hours — it does NOT use ice. Read this section in full before your event; the #1 reason renters lose their deposit on this unit is using the wrong mix or tipping the machine during transport.

📦 At a Glance

  • Capacity: 4 L / 135 oz single tank · ~30 servings per fill (4 oz pours) · single flavor at a time.
  • Power: ~300 W on a standard 110 V grounded GFCI outlet — can share a circuit with low-draw items (lights, phone chargers). Don't share with the popcorn machine, coffee pot, or another high-watt appliance.
  • Pre-chill time: 1–3 hours from a liquid mix to pourable slush, depending on starting temperature and ambient heat. Plan for this — it's why we rent it as an all-day block instead of a 4-hour window.
  • Hold time: Once it's slushed, it stays slush for the entire event — no melt-to-soup like ice-shave machines.
  • Dispensing: Front-mounted lever tap. Internal auger keeps the slush stirred and feeds it to the tap.

🚚 After Delivery — DO THIS FIRST

  • Let it sit upright for at least 4 hours before plugging it in. Refrigeration compressors contain oil that settles during transport — powering on too soon can permanently damage the compressor (the most expensive part to replace, and the fastest way to lose your full deposit).
  • If we deliver it the morning of your event, you can plug in by lunchtime for an evening party. If you need slush by noon, ask us to drop it off the night before.
  • Never tip or lay the machine on its side at any point — not for transport, not for cleaning, not "just to look at the bottom."

🛡️ Safety / Setup

  • Stable, level surface with at least 4 inches of clearance on all sides for compressor airflow. Blocked vents = overheated compressor = no slush + deposit forfeit.
  • Indoor or under a covered tent only. Direct sun cooks the compressor; direct rain shorts the electronics.
  • Ambient operating range: 50–95°F. Below 50°F the mix won't slush correctly; above 95°F the compressor can't keep up.
  • Plug directly into a grounded GFCI outlet. No thin extension cords or daisy-chained power strips.
  • Tap valve and auger are not razor-sharp like the Margaritaville blades, but still keep hands and utensils out while running — the auger will catch and snap fingers.

🥤 Mix Rules — The #1 Failure Point

  • Use premade slushie / frozen-drink concentrate (sold at restaurant supply stores, BJs/Sam's Club, Amazon under "slush mix" or "Frosé mix"). It's formulated with the exact sugar/water ratio the auger needs.
  • Slush physics: you need at least 12% sugar OR 12% alcohol in the liquid for it to freeze into slush instead of a solid block. Most commercial slush mixes are pre-balanced for this.
  • NEVER pour these into the tank:
    • Carbonated drinks (soda, beer, sparkling wine). The auger whips them into foam that overflows the lid and gums the seals.
    • Plain water or pure juice. Not enough sugar — freezes into a solid brick that locks the auger.
    • Dairy / cream / coffee creamer. Spoils quickly and is murder to clean.
    • Mix with seeds, pulp, fruit chunks, or ice cubes. Strain everything before pouring.
  • Want a frozen cocktail? Make it boozy at home first (e.g., margarita base + tequila, frozen daiquiri base + rum) so the total alcohol is ~12% — then pour the finished cocktail into the tank. Adding straight spirits later just thins out the slush.

🥤 How to Use

  • Fill the tank between the MIN and MAX lines printed on the side. Under-filling causes the auger to spin dry; over-filling overflows the lid as the mix freezes and expands.
  • Close the lid fully. Press the power button, then select the "SLUSH" or "FREEZE" mode (icon on the control panel).
  • Set the temperature dial. The display shows current tank temp in °F. Slush target: 28°F (–2°C) to 23°F (–5°C). Colder than 23°F and you risk freezing solid.
  • Walk away for 1–3 hours. The compressor will cycle on and off and the auger will rotate continuously to mix and aerate.
  • When the slush is the texture you want, switch to "DRINK" / "DISPENSE" mode (warmer hold temp + slower auger). Pull the tap lever forward to pour.
  • Top off the tank as the level drops — the auger needs liquid contact to keep stirring. Don't run it down past the MIN line.

🍸 Alcohol Service & Liability — Same Rules as Margaritaville

  • G-Pop's does NOT supply, serve, or sell alcohol. You provide the mix and any spirits.
  • You (the renter) are 100% legally responsible for any alcohol added, who is served, and over-service — same signed acknowledgment as our Margaritaville rentals (Rental Agreement Section 4).
  • No service to anyone under 21. Designate a sober adult to monitor the dispenser. Never leave it unattended at a public event.
  • Family / school / corporate event? Run frozen lemonade, strawberry slushie mix, or virgin piña colada concentrate — zero liability, same crowd reaction.

🧼 Cleaning (Before Returning the Machine)

  • Turn off and unplug. Wait 15–20 minutes for any remaining slush in the tank to soften.
  • Dispense the remaining slush into a pitcher (don't waste it!). Then pour warm water + a drop of mild dish soap into the tank to the MIN line.
  • Plug back in, switch to "DRINK" / dispense mode for ~5 minutes to circulate the soapy water through the auger and tap, then drain it all out through the tap.
  • Repeat with clean warm water (no soap) to rinse.
  • Wipe the inside of the tank and the lid with a soft cloth. Never use steel wool, abrasive pads, or bleach — they'll scratch the food-grade plastic and damage the auger seal.
  • Leave the lid open so the interior air-dries before pickup.

🛠️ Troubleshooting

  • "It's been 3 hours and my mix is still liquid" → Check that the mix has at least 12% sugar (or 12% alcohol). Plain juice or low-sugar mix will never slush. Also confirm the temp dial is set to slush range (23–28°F).
  • "It froze into a solid block" → Too cold + not enough liquid level. Turn off, unplug, wait 30 min, then start over with the dial 2–3°F warmer.
  • "Tap drips when I'm not using it" → The seal is gunked with old mix. Cycle a tank of warm soapy water through (see Cleaning, above). If it still drips after cleaning, call G-Pop's.
  • "The compressor hums but the mix isn't getting cold" → Either it wasn't sat upright 4 hours after delivery (compressor oil out of place) or the airflow vents are blocked. Move it away from walls and call G-Pop's.
  • "The auger stopped turning" → Mix is too thick (frozen solid) or too thin (dry tank). Unplug, wait, refill / thaw, restart.
  • Anything else → Call G-Pop's at (860) 337-4032 before opening the machine or attempting any repair. Most issues can be fixed over the phone in under 5 minutes.
Deposit impact: Returned with sticky residue in the tank or tap = $40 cleaning fee. Chipped auger or damaged tap valve from forcing frozen-solid mix = $75. Compressor damage from being powered on within 4 hours of transport, being tipped on its side, blocked vents, or running with the wrong mix = full $150 deposit forfeit + replacement cost ($400–$500). Misuse or illegal alcohol service is the renter's full legal responsibility per the signed rental agreement.
Popup Tents (30×10 ft)

🛡️ Safety / Injury Prevention

  • Always anchor. A 30×10 ft canopy is a parachute in a gust — an unweighted tent can flip and seriously injure guests.
  • Stake into grass whenever possible. On pavement, weight each leg with 40+ lbs (water/sand bags).
  • Wind cutoff: take down at sustained 20 mph or any thunderstorm warning. No exceptions.
  • Need 3+ adults for safe setup/takedown. Don't extend legs while only one person holds the canopy.
  • Do not hang heavy decor, speakers, or lighting from the frame.

🧽 Care

  • If the canopy gets wet, open it back up to air dry within 24 hours before returning — prevents mildew.
  • Shake debris off before folding; don't fold over twigs or sand.
  • Return stakes, tie-downs, and carrying case together.
Deposit impact: Bent frame, ripped canopy, mildew from being stored wet, or missing stakes/case = $50–$300 depending on damage.
🧊 150-Gallon Coolers

🛡️ Safety / Injury Prevention

  • Full coolers can weigh 400+ lbs. Never lift solo — use a dolly or drain first.
  • Keep the lid clear of foot traffic — children love climbing on them and can pinch fingers in the hinge.
  • Place on level ground so it can't tip when opened.

♨️ Pre-Chill / Use

  • Pre-chill with a bag of ice the night before — drinks stay cold roughly 2× longer on event day.
  • Keep lid closed between drink runs.

🧽 Return Condition

  • Drain completely and wipe dry inside before returning.
  • Remove all bottles, cans, and ice — no leftover beverages.
Deposit impact: Returned with standing water/beverages, broken hinge, or stained interior = $25–$50 cleaning fee.
🎯 Yard Games (Giant Jenga, Connect 4, Cornhole)

🛡️ Safety / Injury Prevention

  • Giant Jenga can topple to ~5 ft tall. Keep a 6 ft clear zone around it. No standing under or beside the tower mid-game.
  • Don't let children throw or kick the wooden blocks — solid hardwood causes real bruises.
  • Cornhole bags: aim at the board, not at people. Stand 27 ft apart per regulation.
  • Set up on level ground, away from tables, glassware, and small children.

🧽 Care

  • Wood is not waterproof. If it rains, move games under cover immediately. A soaked Jenga block warps and won't stack.
  • Wipe blocks/boards down before packing; no food/sticky residue.
  • Count all pieces before returning (Jenga: 54 blocks, Connect 4: 42 chips, Cornhole: 8 bags).
Deposit impact: Missing pieces, water damage/warping, broken or splintered blocks = $5/block, $5/chip, $10/bag, or full set replacement.
🎬 Outdoor Movie Night (Screen, Projector, Sound)

🛡️ Safety / Injury Prevention

  • Never look into the projector lens while it's on — the lamp will damage eyes.
  • Inflatable screen must be anchored — every stake/sandbag must be in place. A gust can launch an unsecured 20 ft screen.
  • Wind cutoff: deflate at sustained 15 mph. Inflatables catch wind like a sail.
  • Keep the blower fan inlet clear of debris, children, and pets (intake suction is strong).
  • Run extension cords along the perimeter and cover with cord ramps where guests cross.

♨️ Projector Cool-Down

  • Projectors run hot — do NOT unplug immediately after powering off. Wait for the cooling fan to stop on its own (~2 minutes). Pulling power early shortens lamp life dramatically.
  • Keep ventilation slots unblocked; don't sit it on a blanket that covers the intake.

🎥 Best-Picture Tips

  • Start at or after twilight (typically 8:30–9:00 PM in summer) for the brightest, most vivid picture.
  • Aim the projector lens square and centered on the screen — keystone distortion ruins picture quality.

🌧️ Weather

  • If rain starts: cover the projector immediately with the supplied rain cover, deflate screen, store electronics indoors.
  • Heavy dew at night counts too — pack electronics in their cases before walking away.
Deposit impact: Water damage to projector or sound system, torn screen, missing remote/cables, or premature lamp burnout from skipped cool-down = $100–$800 depending on item.
